Terms & Conditions

- Parties and scope. These Terms apply to the Event Movie (Equipment / Filming) – zusammenvollkommen service provided by Back Office Guide (operated by Christian Sadrinna), based in Dortmund, Germany. The specific scope, shoot date(s), deliverables, format(s), rates and travel/expense estimates are defined in the Order/Proposal. In case of conflict, the Order prevails.

- Deliverables and revisions. Deliverables are the final edited video(s) described in the Order. Up to 2 rounds of editorial revisions to the final edit are included if requested within 7 calendar days of delivery. Revisions cover cut length, sequencing, captions, color and audio tweaks; they do not include reshoots, new scenes, change of concept, additional languages, or replacement of licensed music. Out‑of‑scope changes are billed at the stated day/hourly rates.

- Client responsibilities. Client secures access, filming permissions, schedule, stage/lighting/audio readiness, parking and safe working conditions. Client obtains necessary venue, organizer and location releases, and ensures clear signage/notice to attendees and a lawful basis for filming persons and processing their personal data. For minors, written guardian consent is required prior to filming.

- Rights, usage and credits. Upon full payment, Client receives a worldwide, perpetual, non‑exclusive license to use the delivered final exports for its own promotion and internal purposes, as specified in the Order. Raw footage, project files, and working materials remain Provider’s property and are not delivered unless agreed in writing. Third‑party music, fonts and stock are subject to their licenses; substitutions may be required. Provider may credit and showcase the work in portfolio, website and social media; Client may opt out by written notice before delivery.

- Data protection. Each party acts as an independent controller for its own processing. Provider processes footage to perform the service and maintains reasonable security. A data processing addendum can be signed if legally required. Client is responsible for event attendee notifications and consents.

- Equipment and crew. Professional equipment and crew are provided as scoped; equivalent substitutions may be made. Drone use or special rigs require prior written agreement, legal permissions and suitable weather; safety prevails on site.

- Schedule, overtime and reshoots. Standard on‑site day is up to 10 hours including breaks. Overtime is billed at 150% of the hourly rate. Reshoots caused by Client factors (no‑shows, venue issues, schedule changes) are billable.

- Fees, expenses and payment. A non‑refundable 50% booking fee secures the date(s); balance is due before release of final files. Travel, accommodation, per‑diems, permits and courier are billed at cost. Late payments may incur statutory interest and collection costs.

- Changes, cancellations and postponements. Material scope changes require a change order. If Client cancels: >30 days before shoot—25% of total; 8–30 days—50%; ≤7 days—100%. Booking fee is non‑refundable. One postponement is allowed subject to availability; non‑recoverable costs remain billable.

- Acceptance and storage. Deliverables are deemed accepted upon the earlier of: written acceptance, public use, or 7 days after delivery. Project files are retained for 60 days post‑delivery; archival or retrieval thereafter may incur fees and is not guaranteed.

- Warranties and liability. Services are provided with reasonable skill and care. Except for willful misconduct or bodily injury, Provider’s aggregate liability is capped at the fees paid for the specific Order. No liability for indirect or consequential losses. Force majeure applies (including severe weather, strikes, outages, epidemics).

- Compliance and safety. Provider may refuse or stop work that is unsafe, illegal, defamatory, or infringing. Client indemnifies Provider against claims arising from Client‑provided materials, instructions, or lack of permissions.

- Governing law and venue. German law applies; exclusive venue is Dortmund, Germany. Severability and written‑form requirements apply.
